INFORMATION SECURITY AND PRIVACY POLICY
Privacy Matters
Sierraamadrerosefloat.org (the “Site”) and the Sierra Madre Rose Float Association, Inc. (sometimes “SMRFA” or “we”) recognize the importance of our users’ privacy, and take a number of steps to protect that privacy. The following discloses the information gathering and dissemination practices for personal information collected online and through the mail. In this Privacy Policy, we refer to anyone who visits and uses the Site sometime as a “User” or “you”, which terms shall include, without limitation, and collectively, any customer, member, volunteer, participant, sponsor, applicant for any of SMRFA’s programs and any other person visiting the Site.

SMRFA believes in protecting the privacy of its users. The purpose of this privacy policy is to describe the kinds of information that we may gather about you; how we may use that information; how we protect it; when we may disclose it; and the choices you have regarding your information.

Non-Personal Information that We Collect
We automatically collect non-personally identifiable information from you when you visit our Site. This information includes your Internet Protocol (“IP”) address, which is the number automatically assigned to your computer whenever you access the Internet. This number does not identify your name, email address, or other personal information. We use your IP address to help diagnose problems with our server and to administer our Site.
We also collect non-personally identifiable information through the use of cookies. A cookie is an alphanumeric file that a Web site puts on your hard drive so that it can remember something about you while you are using the Site or when you return to the Site. Cookies make it easier for you to use our Site. We use cookies to gather certain aggregate usage information about the numbers and frequency of visitors to our Site and individual pages of our Site. This data helps us improve the appearance and usability of the Site. These cookies do not collect personally identifiable information nor do we combine information collected through these cookies with other personally identifiable information about you. SMRFA may also use cookies, as well as files called “Web beacons” or “clear gifs” to determine on an anonymous basis which promotions our Site users have seen and how users responded to them. However, we do not use these technologies to collect personally identifiable information.
Personal Information that We Collect
We may collect your personally identifiable information, such as your name, shipping address, billing address, email address, and phone number, in the course of processing your orders or applications, or when we otherwise communicate with you. For example, through order forms and applications on our Site, and through signups for our mailing, we collect personally identifiable information necessary for sending you correspondence or shipping products that you purchase. We also may collect your financial information (like your billing address) and your contact information (like your email address, phone number and shipping address).
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day. We may store your contact information when you submit it to us. When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service or other spam services to see if you are using it. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Information from Other Sources
Information that you give us may be combined with other personally identifiable information (such as order history and demographic information) from third-party sources to make our marketing efforts more efficient. Examples of other information we receive from third-party sources include updated address information, which we use to correct our records and deliver correspondence or products more easily.
Uses of Your Information
Financial information that is collected is used to bill you for products that you request. Contact information from the order form is used to send orders and information about SMRFA to you. You may opt-out of receiving future mailings; see “How to remove your name from our mailing, sharing or email list” below.
If you register for email or if you provide your email address to us, we will send you emails. These emails will inform you of upcoming SMRFA events, the launch of new products, of special sales, of promotional offers from our partners, and of potential volunteer opportunities with SMRFA that you may find of interest. If you currently receive our emails and do not wish to continue receiving them, please see the “How to remove your name from our mailing, sharing or email list” section below.
We use your shipping address to ship your products to you and to send mailings to you. We use your billing address, if different than your shipping address, to verify your billing information. We never share our usernames or addresses, e-mail addresses or other personally identifiable information, other than to the extent described in the “Disclosures of Your Information” section below. In accordance with our commitment to protect personal privacy, SMRFA adheres to the principles of the Safe Harbor Framework as developed by the U.S. Department of Commerce in consultation with the European Commission. Disclosures of Your Information
We do not disclose your personal information to other companies, persons or agencies, except for the purposes described below:
Service Providers: We employ other companies and individuals to perform certain services and functions on our behalf. Examples include operating and maintaining our Site, taking orders, delivering packages, sending postal mail and email, removing repetitive information from user lists, analyzing data, providing marketing consultation and assistance, distributing user surveys, processing credit card payments, processing applications and providing customer service. These companies have access to personal information needed to perform their services or functions but may not use it for other purposes. Some of the payment service providers SMRFA utilizes are PayPal, Zelle, and Venmo, and you will be subject to the respective Privacy Policies and Information Security Policies of those sites. You will be notified when you are using any external payment service providers.
For Your Protection and Ours: We may release personally identifiable information when we believe it is appropriate to comply with applicable law, regulation, legal process, or governmental request; enforce or apply our Terms of Use and other agreements; or protect the rights, property, or safety of SMRFA, our members, our users, our volunteers or others.
Length of Time Personal Information is Kept
We will keep the personal information you provide for an indefinite amount of time unless you make a request to us to remove or change your information consistent with a choice in our removal or correction notice sections. If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Protection of Personal Information
We want you to feel confident about using the Site, and we are committed to protecting the personal information we collect, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security. We have implemented appropriate physical, electronic and managerial security procedures to help protect the personal information that you provide to us.
We utilize a variety of security measures to maintain the safety of your personal information. All user profile information is contained behind a “firewall” and only accessible by a limited number of personnel who have special access rights to our production systems. Passwords collected by us are encrypted in a secure database, which is also located behind a firewall. We do not store credit card numbers. All sensitive information supplied by you is transmitted via Secure Socket Layer (SSL) technology. Site uses WordPress.org open-source software, and software, themes, or plugins from affiliates, and is updated on occasion for security purposes.
Children’s Privacy
SMRFA and the Site does not sell merchandise for purchase by children. If you are under 18, you may use the Site only with the involvement of a parent or guardian. Should a child whom we know to be under 13 send personal information to us, we will use that information only to respond directly to that child to inform him or her that we must have parental consent before receiving his or her personal information.
External Links
If any part of the Site links you to other Web sites, those Web sites do not operate under this Privacy Policy. We recommend that you examine the privacy statements posted on those other Web sites to understand their procedures for collecting, using, and disclosing personal information.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Copyright Violations
You should avoid uploading media created by others where you do not have copyright approval. If you have a copyright claim against any media on the Site, please contact SMRFA using the “How to Contact Us” section below.
SMRFA complies with the notice-and-takedown procedures set out in section 512(c) of the United States Digital Millennium Copyright Act (DMCA), which applies to content reported and removed for violating U.S. copyrights.
If your content is removed under the DMCA, you’ll receive instructions about how to file a counter-notification in the message we send you. You should only submit a counter-notification if the content was removed because of a mistake or misidentification. Please note that if your content was removed for reasons unrelated to a copyright report, you may not receive a response from us.
When we receive a valid DMCA counter-notification, we forward it to the party that reported the content. The information they receive includes your contact information, which they can use to contact you.
If we provide your counter-notification to the party that reported the content, and they don’t notify us that they have filed a court action seeking an order to keep the content down, we will restore or cease disabling eligible content under the DMCA. This process can take up to 14 business days. Please note, in rare instances, we may not be able to restore content due to technical limitations. If this happens, we’ll send you an update letting you know you may repost the content at your discretion.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

SMRFA or Site may update this privacy policy in the future. We will notify you about material changes to this privacy policy by sending a notice to the e-mail address you provided to us or by placing a prominent notice on the Site.
What rights you have over your data
If you have an account on this site, have left comments, or made a purchase, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. You will not be discriminated against for exercising your privacy rights.
